Promotion of Access to Information Act Manual
1. Introduction
This manual is published in terms of Section 51 of the Promotion of Access to Information Act, No. 2 of 2000 (PAIA), as amended. PAIA gives effect to the constitutional right of access to information held by private bodies that is required for the exercise or protection of any rights.
Note: Prospr Projects is a division of the Prospr group providing construction and renovation services to property owners in Cape Town.

4. Categories of Records Held
Prospr Projects holds the following categories of records:
Client Records
Client enquiries and quotes, correspondence, and site-visit information.

Signed project agreements, scopes of work, plans, and records of works carried out.
Supplier & Trade Records
Records relating to subcontractors, tradespeople, and suppliers engaged on projects.
Financial Records
Accounting records, tax records, and banking records.
Website Records
Enquiry form submissions and cookie notice data.
5. How to Request Access to Records
To request access to records held by Prospr Projects:
- Complete the prescribed Form C (available from the South African Human Rights Commission website)
- Submit the completed form to our Information Officer via email at [email protected] or by post to our registered address
- Include sufficient detail to identify the records you are requesting and the right you wish to exercise or protect
The form must be accompanied by proof of identity and, where applicable, proof of authority to act on behalf of another person.
6. Fees
The following fees may apply to access requests:
- Request fee: a non-refundable prescribed fee is payable upon submission of a request (as determined by PAIA regulations)
- Access fee: if the request is granted, an additional fee may be charged for the reproduction, search, and preparation of the record
7. Decision Timeline
We will process your request and notify you of our decision within 30 days of receiving a properly completed Form C and the applicable request fee. This period may be extended by a further 30 days if the request requires a search through a large number of records or consultation with another party.
8. Grounds for Refusal
Access to a record may be refused on the following grounds, as provided for in PAIA:
- Protection of the privacy of a third party
- Protection of commercial confidentiality or trade secrets
- Protection of records that are privileged from production in legal proceedings
- If disclosure would endanger the life or physical safety of an individual
- Records relating to research being conducted by the body or a third party
- Other mandatory grounds for refusal as stipulated in PAIA
